Operating within a highly regulated environment, the business continues to invest heavily in its Product, Design and UX capabilities, placing user research at the heart of its decision-making.As the UX function continues to mature, they're looking to appoint a UX Research Operations Specialist to establish scalable research operations, improve team efficiency, and enable researchers to deliver high-quality insights that shape the future of their digital products.About the Role
Rather than conducting research yourself, you'll focus on building the processes, governance, tooling and operational frameworks that allow researchers to work efficiently, consistently and compliantly. You'll work closely with UX Researchers, Product, Design, Legal, Compliance and Data teams to streamline research delivery, improve collaboration and introduce scalable ways of working across the organisation.This role is ideal for someone who enjoys solving operational challenges, implementing new processes and driving continuous improvement within a user-centred environment.Key Responsibilities
Research Operations & Workflow Improvement
Analyse existing research processes and identify opportunities to improve efficiency and reduce operational friction.
Design, implement and continuously improve scalable research operations frameworks.
Support research planning, participant coordination, scheduling and operational readiness.
Improve collaboration across UX, Product, Engineering, Legal, Compliance and wider business teams.
Lead continuous improvement initiatives across research operations, governance and team processes.
Support onboarding of new researchers through clear documentation, guidance and operational best practice.
Research Tools & Operational Enablement
Own and optimise the UX Research tooling ecosystem.
Manage licences, user access and onboarding across research platforms.
Support researchers with tooling, repository management and operational guidance.
Evaluate and introduce new technologies, automation and AI tools that improve research efficiency and scalability.
Stay informed on emerging UX Research Operations trends, tooling and best practice.
Insight & Knowledge Management
Maintain research repositories, documentation and collaboration platforms.
Ensure templates, consent documentation, playbooks and governance materials remain accurate and accessible.
Establish standards for repository structure, tagging, naming conventions and documentation.
Improve visibility and accessibility of research findings across the organisation.
Reduce duplication and improve consistency across research assets and operational documentation.
Participant Operations & Governance
Coordinate participant recruitment, scheduling and communications.
Support participant databases and research panels.
Ensure research activities align with GDPR, consent management and governance requirements.
Partner with Legal, Compliance and Data Privacy teams to maintain operational standards.
Support secure storage, retention and management of research data.
Team Enablement & Collaboration
Support the UX Research leadership team in improving operational effectiveness.
Help establish scalable research standards and operational maturity.
Facilitate research showcases, retrospectives, governance sessions and knowledge-sharing activities.
Act as the operational connector between UX Research and cross-functional teams.
Improve communication, transparency and visibility across research initiatives.
Continuous Improvement
Define and monitor operational metrics across the research function.
Identify trends, bottlenecks and opportunities to improve delivery.
Support reporting that enables the UX Research function to scale effectively.
Drive adoption of operational best practice and AI-enabled workflows.
Skills & Experience
We're looking for someone with experience working within UX Research, Product Operations, Service Design or Digital Delivery who enjoys improving systems, processes and ways of working.You'll ideally have experience with:
UX Research Operations or operational support within a digital product environment.
Improving operational processes, workflows and governance.
Research repositories and knowledge management platforms such as Dovetail, Confluence, SharePoint, Airtable or similar.
UX Research tools including UserTesting, Maze, Qualtrics or equivalent.
Participant recruitment, research governance and operational compliance.
Working collaboratively with Product, Design, Engineering and business stakeholders.
Excellent organisational, stakeholder management and communication skills.
AI tooling, workflow automation and emerging technologies that improve operational efficiency.
